05 · PCI compliance for retailers

PCI DSS without the panic

If you take cards, the Payment Card Industry Data Security Standard applies to you, and version 4.0.1 is now fully in effect: the requirements that were future-dated became mandatory on March 31, 2025. Under the Florida Information Protection Act (section 501.171, Florida Statutes), businesses must take reasonable measures to protect customers’ personal information. If a breach happens, affected Floridians must generally be notified within 30 days, and the Florida Department of Legal Affairs as well if 500 or more Floridians are affected.

What is retail IT support?

How is a retail managed service provider different from my POS company’s support line?

Your POS vendor supports its own software. A retail managed service provider looks after everything around it: the network, printers, scanners, Wi-Fi, cameras, backup internet, security and the other vendors. Yes. We work with the POS you already use, including Square, Clover, Shopify POS, Lightspeed and NCR Counterpoint, and we coordinate with the vendor when their help is needed. We aren’t a reseller or partner of these companies, so our advice stays focused on what’s right for your store.

Can you install security cameras and connect them to our POS?

Yes. We design, install and support business camera systems and can integrate them with your point of sale, so transactions appear alongside the video and exception reports flag voids, refunds and no-sales worth a look. What happens if our internet goes down during a sale?

With backup cellular internet (LTE/5G) in place, card payments fail over automatically and keep processing while the main line is repaired. We’re alerted when it happens and follow up with the provider. Without a backup, many POS systems fall back to an offline mode, which carries the risk of declined cards you can’t collect on later.

Can you help us with PCI DSS compliance?

Yes, on the technical side. We help you shrink what’s in scope with encrypted card readers and network separation, put controls like multi-factor authentication and 12-character passwords in place, inspect payment devices, and gather evidence for your Self-Assessment Questionnaire. How do you keep guest Wi-Fi away from our registers?

Guest Wi-Fi gets its own network that reaches the internet and nothing else. Registers and card readers sit on a separate payment network, cameras on another and office computers on another, with a firewall deciding what can talk to what. A customer on your Wi-Fi never shares a network with your payment systems.

How do you handle seasonal staff?

Each hire gets their own login with only the access their role needs, set up before their first shift. When the season ends, access is removed the same day. No shared register passwords. It’s all part of our new-employee IT security checklist.

Do you support multi-location retailers?

Yes. We use the same network, camera and security setup at every store so problems are easier to spot and fix, give owners one view of cameras across locations, and turn opening a new location into a repeatable checklist instead of a scramble. Our growth FAQ explains how the service scales.

Can you install cabling and networks for a new store or remodel?

Yes. We plan and install structured cabling, switches, Wi-Fi and a labeled network closet, and coordinate with your contractor and POS vendor so registers, cameras and door access work on opening day. Bring us in early through IT consulting: moving a cable run before the drywall goes up is far cheaper than after.

How much does retail IT support cost?
