Sheet A-01 · Where IT costs you money

Six change orders your IT should never cause

A crashed laptop, a dead trailer connection or a ransomware note shouldn’t be why your crew is standing around instead of pouring, pulling wire or sweating pipe. When the tech goes down, the schedule goes with it.

Construction IT support means fixing the problems that actually slow a contractor down, in the office, in the trailer and in the truck. Here are the ones we see most, and what we do about them.

CO-01

Rejected

The trailer lost internet

Cost

The super can’t pull the latest plans, submit dailies or answer RFIs, so everyone waits or drives back to the office.

The fix

Business internet with LTE/5G failover, managed Wi-Fi in trailers, and a network we monitor instead of a router someone bought at a big-box store.

CO-02

Rejected

“Please update our bank info”

Cost

A sub’s or supplier’s email gets spoofed or hijacked, and a progress payment goes to a criminal’s account.

The fix

Email security, MFA on every mailbox, and a call-back rule for any payment change, with staff trained to use it.

CO-03

Rejected

Estimating froze on bid day

Cost

The takeoff software locks up an hour before the deadline, and the bid goes out late or not at all.

The fix

Workstations sized for estimating and plan review, licenses tracked, and estimate files backed up so a crash is an inconvenience, not a lost bid.

CO-04

Rejected

The field built off an old revision

Cost

Rev. B lived on someone’s laptop. Rev. D was in an email. Rework follows.

The fix

One source of truth for plans and photos in SharePoint or your project platform, synced to managed tablets in the field.

CO-05

Rejected

A tablet walked off the site

Cost

Plans, bid numbers, employee data and email were on it, with no passcode.

The fix

Mobile device management (MDM) with encryption, passcodes and remote wipe, set up before the device ever leaves the office.

CO-06

Rejected

Ransomware hit the accounting server

Cost

Payroll, job costing and pay apps are locked on the day draws are due.

The fix

Endpoint detection and response (EDR), patching, and immutable backups we actually test by restoring them.

Sheet A-02 · Construction software

IT that knows the software construction runs on

Contractors run on three kinds of software: accounting and job cost in the office, project platforms in the field, and estimating and plan tools on the desk. Each breaks in its own way. We support the servers, workstations, devices, accounts and connections they depend on, and we deal with your vendors so you don’t have to.

Plenty of job-cost and accounting systems still run on a server in your office, and that server holds payroll, AP and every pay app you’ve ever sent.

Sheet A-03 · AI & automation

AI for construction companies: less paperwork, more production

Nobody got into construction to retype invoices, chase lien waivers or write daily reports at 9 p.m. That’s exactly the work AI and automation are good at. With skilled people hard to find, getting hours back from the office and the super’s truck is one of the few levers you control.

of construction firms now use AI or plan to increase AI investment this year, up from 44% the year before.

45%

Office and administrative work is the top AI use among contractors, ahead of estimating (23%) and design and preconstruction (20%).

Where AI earns its keep

Six jobs AI can take off your plate, with the guardrails that matter

01

Daily reports from voice and photos

The super talks through the day and snaps photos; AI drafts the daily log, weather, manpower and issues for a quick review.

Guardrail: the super approves every report before it goes to the owner.

02

Invoices, pay apps and lien waivers

Automation reads vendor invoices, matches them to POs and commitments, and flags missing lien waivers before a check is cut.

Guardrail: payment changes still need a call-back and a second approver.

03

Estimating and takeoff assist

AI helps count, measure and compare against past jobs, so estimators spend time on judgment instead of clicking.

Guardrail: bid numbers stay in tools you control, never in a free chatbot.

04

Search the spec book and the RFIs

Ask plain-English questions of specs, contracts, submittals and RFI history instead of scrolling a 900-page PDF.

Guardrail: answers link back to the source page, and permissions follow the project.

05

Safety paperwork

Draft toolbox talks, organize incident reports and keep the records OSHA electronic reporting depends on in one place.

Guardrail: a competent person reviews anything safety-related.

06

Email, scheduling and follow-ups

AI assistants triage the inbox, draft replies to owners and subs, and chase the submittal nobody answered.

Guardrail: nothing is sent, paid or approved without a person.

How we implement AI

The IT work that makes AI safe to use

An AI tool is only as safe as the accounts, permissions and data around it. Turn on an assistant in a messy Microsoft 365 tenant and it can surface payroll files or bid numbers to anyone who asks. We clean that up first.

Staff pasting bids or contracts into free AI tools

Assistants that can see every shared folder

Ex-employees still in project platforms

No written AI policy

AI connected to email with no approvals

01

Find the AI already in use

We inventory which tools your people use and what data they touch.

02

Pick one painful workflow

Dailies, AP or estimating. One measurable win beats a tool shopping spree.

03

Clean up permissions

Fix oversharing in Microsoft 365 and project platforms before an assistant can see everything.

04

Vet the vendor

Data retention, whether your data trains their model, and how it connects to your systems.

05

Write the policy, train the crew

A one-page AI policy and training on what never goes into an AI tool.

06

Measure and expand

Track hours saved and errors caught, then roll out what works.

Sheet A-04 · Wire fraud & cybersecurity

Stop the “new bank details” email before it costs you a draw

Construction moves big payments between a lot of companies, often by email. That makes contractors a favorite target for business email compromise: a spoofed or hijacked email from a sub, supplier or title company asking you to send the next payment somewhere new. The fix is part technology, part process. Here’s the process we help every client put in place.

Step 1

Email arrives

“We’ve changed banks. Please use the attached details for this pay app.”

Step 2

Stop

Payment details never change by email alone. No exceptions, even for the owner.

Step 3

Call a known number

Use the number already on file, never the one in the email or its signature.

Step 4

Second approver

A second person signs off on any new or changed payee before money moves.

Step 5

Pay, and log it

Confirm receipt with the vendor and record the change, so the next person knows it’s verified.

Behind the process: MFA on every mailbox, impersonation filtering, alerts on suspicious inbox rules, and training your office staff to spot the signs.

Construction cybersecurity, built for crews that don’t sit at desks

Most of your people work from trucks, trailers and tablets. Security has to work there too, without slowing anyone down. These are the controls cyber insurers ask about, and the ones that stop real attacks.

Multi-factor authentication (MFA) on email, project platforms and remote access

Endpoint detection and response (EDR) on every laptop and server

Email filtering with impersonation and look-alike domain protection

Immutable, tested backups of accounting, job files and plans

Mobile device management for field tablets and phones

Security awareness training and phishing tests for office and field staff

A written incident response plan, and help answering insurance questionnaires

Fake change-order emails cost real money

We’ll help your office tighten email and payment checks so fake requests stand out.

Sheet A-05 · Compliance

The rules that quietly depend on your IT

Contractors don’t usually think of themselves as regulated like a bank or a clinic. But Florida and federal rules still reach your systems through employee records, customer data and government work. We handle the technology side so the paperwork holds up.

Florida · 25+ employees

E-Verify records

Since July 1, 2023, Florida private employers with 25 or more employees must use E-Verify and keep the records for three years.

IT side: secure storage, access control and retention for new-hire records.

Fla. Stat. 448.095 →

Florida · all businesses

Breach notification

The Florida Information Protection Act requires notice to affected people within 30 days of a breach, and to the Attorney General when 500 or more Floridians are affected.

IT side: protect the SSNs and bank details in payroll and HR files, and know quickly what was exposed.

Fla. Stat. 501.171 →

OSHA · 20–249 employees

Electronic injury reporting

Construction establishments with 20 to 249 employees must submit Form 300A data to OSHA electronically each year, by March 2.

IT side: injury logs stored safely, backed up and easy to pull when it’s time to file.

29 CFR 1904.41 →

DoD work · primes & subs

CMMC for defense projects

CMMC clauses began appearing in DoD contracts on November 10, 2025. Starting November 10, 2026, many contracts will require a third-party Level 2 certification, and primes flow it down to subs.

IT side: the NIST SP 800-171 controls, documentation and evidence behind an assessment.

CMMC, in plain English →

Insurance · renewal time

Cyber insurance questionnaires

Insurers now treat controls like MFA, EDR and tested backups as minimum requirements, and a wrong answer on the application can cause trouble at claim time.

IT side: put the controls in place, then answer the questionnaire accurately with evidence.

Why cyber claims get paid or denied →

Owners & GCs · contracts

Owner and GC security asks

Larger owners, general contractors and public projects increasingly send vendor security questionnaires before they sign.

IT side: a documented security program you can hand over, instead of scrambling for answers.

What to expect from an IT security audit →

We’re an IT provider, not your attorney or auditor. We implement and document the technical controls; your counsel and advisers own the legal calls, and no IT company can certify you compliant on its own.

Sheet A-09 · Questions

Construction IT support questions

What is construction IT support?

Construction IT support is the ongoing management and protection of the technology a contractor runs on: the office network and servers, accounting and job-cost systems, project platforms, field tablets and phones, trailer internet, email and backups. With a Managed Service Provider (MSP) like NerdSquad, it also covers cybersecurity (MFA, endpoint detection and response, email protection), a help desk your team can call, and onsite support when it takes hands.

Do you support jobsite trailers and field crews, not just the office?

Yes. We set up trailer internet with automatic failover, Wi-Fi that covers the trailer, managed tablets and phones, and secure access to plans and project platforms from the field. Onsite visits to the office or a trailer across Collier and Lee counties are defined in your service agreement.

Do you support Procore, Bluebeam, Sage and our other construction software?

Yes. We support the servers, workstations, devices, accounts and connections your construction software depends on, and we coordinate with the software vendor when an issue is inside the application. Before we start, we review your versions and vendor requirements so everyone knows who handles what.

How do we get reliable internet at a jobsite?

It depends on the site. We use cable or fiber where it’s available, and business LTE/5G or satellite where it isn’t, then pair the main connection with automatic failover and managed Wi-Fi so the trailer stays online. We review the options for each site before the trailer is set.

How do we stop fake bank-change emails from subs and suppliers?

With a process and the technology to back it up. Payment details never change by email alone: call the vendor at a number already on file, have a second person approve any new or changed payee, then log it. Behind that, we put MFA on every mailbox, add impersonation filtering and alerts on suspicious inbox rules, and train office staff to spot the signs.

Can you manage the tablets and phones our crews use?

Yes. We enroll company tablets and phones in mobile device management so they’re encrypted, passcode-protected, loaded with the right apps and wipeable if one goes missing. For personal phones, we can separate work data from personal data.

What does cyber insurance require from a contractor?

Requirements vary by carrier, but most now expect MFA, endpoint detection and response, tested backups, patching and security training. We put those controls in place and help you answer the application accurately, which matters when it’s time to file a claim.

How can AI help a construction company?

The biggest wins are usually in the office: drafting daily reports from voice notes and photos, matching invoices to POs and tracking lien waivers, assisting with takeoff and estimating, searching specs and RFIs, and handling routine email. We set up the permissions, policy and training so AI helps without exposing bids, payroll or contracts.

Is it safe to paste bids or contracts into ChatGPT?

Not into a free or personal account. Confidential bid numbers, contracts and employee data belong only in business AI tools with data protections, approved by your company and set up with the right permissions. We help you choose those tools and write a simple policy your team can follow.

Do we need CMMC for defense work?

If you work on Department of Defense contracts, directly or as a subcontractor, CMMC probably applies to you. The rule took effect November 10, 2025, and starting November 10, 2026, many contracts will require a third-party Level 2 certification. We help implement the NIST SP 800-171 controls behind it; confirm your required level with your contracting officer or prime.

What happens if ransomware hits in the middle of a project?

You call us and we work the problem with you. Endpoint detection and response, immutable backups and an incident response plan make recovery faster and more predictable, and we restore the systems you need most first. If personal information was exposed, Florida’s 30-day notice rule may apply, so we support you and your counsel. Response commitments are set out in your agreement, backed by an industry-leading SLA.

Do you work with specialty trades as well as general contractors?

Yes. We support general contractors, home builders, remodelers and specialty trades such as electrical, HVAC, plumbing, roofing and pool contractors, from a single office to crews across several jobsites.

Can IT work be scheduled around bid deadlines and pour days?

Yes. Routine maintenance runs after hours, and bigger changes are planned around your calendar with advance notice, so upgrades never land on a bid day or a pour day.

How much does IT support for a construction company cost?

It depends on the number of people, devices, offices, trailers and systems you have, and what’s included. After a conversation and a walk-through of your setup, we’ll give you a clear proposal with no surprises. Our pricing page explains how our plans are put together.
