# Retail IT Support for Stores That Never Want to Say “Cash Only”

Registers that ring, card readers that connect, cameras that actually catch the moment, and guest Wi-Fi that stays far away from your payment systems. NerdSquad is a Managed Service Provider (MSP) that looks after the technology behind your sales floor, so the only line at your counter is a line of customers.

01 · The short version

## What retail IT support actually covers

Retail IT support is the ongoing care of every piece of technology that helps you sell: registers and card readers, the network they ride on, the cameras watching the floor, the Wi-Fi your customers use, and the back-office systems that track inventory and payroll.

A store isn’t an office with a cash drawer. When an office computer acts up, someone waits for a file. When a card reader drops at 2 p.m. on a Saturday, customers put things down and leave. That is why retail IT has to be planned around your selling hours, not around a technician’s calendar.

As a [retail managed service provider](https://support.nerdsquad.net/portal/en/kb/articles/msp-managed-service-provider), we don’t just answer the phone when something breaks. We watch the equipment quietly, patch it after close, keep payment systems separated from everything else, and give you one number to call instead of five vendors who blame each other. If you’re weighing that against paying per repair, our [managed IT vs. break/fix explainer](https://support.nerdsquad.net/portal/en/kb/articles/managed-it-vs-break-fix-business-case) walks through the math.

It’s the same [managed IT services](https://yzdhzympzs2n343.onstatic.studio/services/managed-it-services/) we provide across Southwest Florida, tuned for the counter, the stockroom and the sales floor.

Office IT

### Built for desks

When it breaks

A slow morning and a few annoyed emails.

Who uses it

The same people, every day, at the same desk.

What’s plugged in

Laptops, a printer, maybe a phone system.

Who’s watching

Mostly your IT person.

Busy season

Roughly the same all year.

Retail IT

### Built for the counter

When it breaks

A line at the register and sales walking out the door.

Who uses it

Shared registers, rotating shifts and seasonal hires who start on Friday.

What’s plugged in

Card readers, scanners, receipt and label printers, cameras, door locks, guest Wi-Fi.

Who’s watching

Card processors, insurers, auditors and, unfortunately, thieves.

Busy season

In Southwest Florida, roughly December through April. Nothing gets to break then.

02 · A Saturday at the register

## The busiest day of the week, printed out

Here’s what good retail IT looks like on the day that pays the rent. Most of it you never notice, and that’s the point.

Store day log

What we’re doing while you’re selling

8:45 AM

### Doors open. Nothing needs a reboot.

Register, reader and back-office updates were installed after close, tested, and rolled back if anything looked off. Your opener unlocks the door, not a troubleshooting session. That quiet overnight work is [remote monitoring and management](https://support.nerdsquad.net/portal/en/kb/articles/rmm-remote-monitoring-and-management) doing its job.

Updated overnight

11:20 AM

### The internet drops. The card reader doesn’t notice.

A cable cut down the street takes out your main line. A backup cellular connection takes over for the payment network, and we get the alert before your cashier does. No one hand-writes card numbers, and no one runs a risky offline sale they can’t collect on later.

Failover engaged

1:05 PM

### A seasonal hire starts mid-shift.

She gets her own register login and the access her role needs, nothing more. No shared “front1” password taped under the drawer. When the season ends, access ends the same day. Our [new-employee security checklist](https://support.nerdsquad.net/portal/en/kb/articles/new-employee-it-security-checklist) is built for exactly this.

Access issued

2:40 PM

### A “vendor” calls asking for a password.

Your manager hangs up, because they’ve practiced this. Phone and gift-card scams are climbing in retail, and a two-minute habit beats a two-week cleanup. Our quick guide to [spotting a phishing email in under 10 seconds](https://yzdhzympzs2n343.onstatic.studio/blog/how-to-spot-a-phishing-email-in-under-10-seconds/) works for texts and calls too.

Scam refused

4:15 PM

### A customer disputes a refund.

You type the receipt number and pull up the exact video clip of that transaction at Register 2. Two minutes, one answer, no scrubbing through four hours of footage.

Clip found

9:10 PM

### Lights off. The store keeps watch.

Cameras keep recording, the back door logs who comes and goes, [backups](https://yzdhzympzs2n343.onstatic.studio/services/secure-backup-and-compliance/) run, and tonight’s updates queue up. Tomorrow starts where today left off.

Closed clean

03 · Security cameras + POS

## Cameras and registers, finally on speaking terms

Most stores have cameras. Far fewer have cameras that can answer a simple question like “what happened at Register 2 when that $84 sale was voided?” We design, install and support business camera systems, and we connect them to your point of sale so video and transactions tell the same story.

01

### Designed around where money actually moves

Registers, entrances, the stockroom, the receiving door and the cash office get the right camera and the right angle, so the footage is sharp enough to be useful, not just proof that someone was there.

02

### Every transaction stamped on the video

We tie your POS to your camera system, so each sale, void, refund and no-sale is searchable by receipt number, register, item or amount. Exception reports flag the unusual ones for you to review.

03

### Cameras on their own network

Cameras live on a separate network segment from your registers and guest Wi-Fi, with default passwords changed, firmware kept current and nothing left open to the internet. We also steer clear of brands on the FCC’s Covered List. The [zero trust](https://support.nerdsquad.net/portal/en/kb/articles/zero-trust-security-model) idea, applied to the ceiling.

04

### Recording you can count on

On-site recording, cloud recording or both, with retention sized to how long disputes and claims really take. If a camera goes offline, we hear about it. Viewing from your phone is protected with [multi-factor authentication](https://support.nerdsquad.net/portal/en/kb/articles/mfa-multi-factor-authentication).

05

### Doors that remember who opened them

Badge or keypad access for the back door, stockroom and cash office, with a code per person and a log that lines up with the video. When someone leaves, their access leaves with them.

06

### Evidence, ready when you need it

Clean clip exports for police reports, insurance claims and card chargebacks, without anyone needing to master the recorder menu first.

04 · POS + payments

## Retail POS support for the system you already use

You don’t need to switch platforms to get better support. We work with the point-of-sale you already run and take care of everything around it: the network, the hardware, the integrations and the vendor calls.

Your POS company supports its software. Nobody supports the switch in the back room, the receipt printer that lost its IP address, or the Wi-Fi dead spot by the fitting rooms. That gap is where most “the register is down” calls actually come from, and it’s the gap we fill.

05 · PCI compliance for retailers

## PCI DSS without the panic

If you take cards, the Payment Card Industry Data Security Standard applies to you, and version 4.0.1 is now fully in effect: the requirements that were future-dated became mandatory on March 31, 2025. Here are the ones that tend to surprise smaller stores, in plain English. For the full background, read our [PCI DSS explainer](https://support.nerdsquad.net/portal/en/kb/articles/pci-dss-payment-card-industry-data-security-standard).

Req. 8.4.2

### MFA on the way in

Multi-factor authentication for all non-console access into the systems that handle card data, including remote access to your POS back office.

Req. 8.3.6

### Longer passwords

Passwords of at least 12 characters where passwords are used. “Store123” has officially retired.

Req. 5.4.1

### Phishing protection

Processes and tools that detect and protect staff against phishing, backed by [security awareness training](https://support.nerdsquad.net/portal/en/kb/articles/security-awareness-training-compliance).

Req. 9.5.1

### Check your card readers

Keep a list of payment devices and inspect them for tampering and skimmers, with staff trained to spot a swapped reader.

Req. 12.10

### A plan for a bad day

An incident response plan you can actually follow. Start with our guide to a [cybersecurity incident response plan](https://support.nerdsquad.net/portal/en/kb/articles/cybersecurity-incident-response-plan).

Req. 11.3

### Scans and testing

Vulnerability scans where your self-assessment requires them, and [penetration testing](https://support.nerdsquad.net/portal/en/kb/articles/what-is-a-penetration-test) when you want real proof.

### The smartest PCI move: shrink what’s in scope

The less of your store that touches card data, the less there is to secure, document and defend. We help you get there.

Use encrypted, tokenized card readers so full card numbers never touch your network

Keep payment devices on their own network, away from guest Wi-Fi, cameras and office PCs

Never store card numbers in spreadsheets, notebooks or email. Yes, we’ve seen all three.

Fill out your Self-Assessment Questionnaire (SAQ) with real evidence, not guesses

Florida-specific

### Florida’s 30-day clock

Under the Florida Information Protection Act (section 501.171, Florida Statutes), businesses must take reasonable measures to protect customers’ personal information. If a breach happens, affected Floridians must generally be notified within 30 days, and the Florida Department of Legal Affairs as well if 500 or more Floridians are affected.

Thirty days goes fast. A [compliance risk assessment](https://support.nerdsquad.net/portal/en/kb/articles/compliance-risk-assessment-what-it-is) and an [IT security audit](https://support.nerdsquad.net/portal/en/kb/articles/it-security-audit-what-to-expect) now are much cheaper than figuring it out under a deadline.

**Plain talk:** NerdSquad doesn’t certify PCI compliance, and we can’t guarantee an assessment outcome. Your card processor or a Qualified Security Assessor decides that. We build the technical controls and the evidence behind them, and help you answer honestly. This is general information, not legal advice.

PCI questions?

We’ll walk your store and show you what your card environment really looks like.

06 · Shrink you can’t see

## The theft that doesn’t leave through the front door

Shoplifting gets the headlines. The expensive losses increasingly come through a phone call, a login or an unpatched system. A few numbers worth knowing, no scare tactics required.

### Where we step in

[Multi-factor authentication](https://support.nerdsquad.net/portal/en/kb/articles/mfa-multi-factor-authentication) on every account that matters, because [credential stuffing](https://support.nerdsquad.net/portal/en/kb/articles/credential-stuffing-password-spraying-mfa) feeds on reused passwords (and [16 billion leaked ones](https://yzdhzympzs2n343.onstatic.studio/blog/16-billion-passwords-exposed-in-record-breaking-data-breach-opening-access-to-facebook-google-apple-and-any-other-service-imaginable/) are out there). [Endpoint detection and response](https://yzdhzympzs2n343.onstatic.studio/services/endpoint-detection-and-response/) on registers and office PCs. Scheduled patching after close. Staff who can recognize [business email compromise](https://support.nerdsquad.net/portal/en/kb/articles/business-email-compromise-bec-explained) and fake-vendor calls. [Dark web monitoring](https://support.nerdsquad.net/portal/en/kb/articles/dark-web-monitoring-business) for your store’s accounts. And [immutable backups](https://yzdhzympzs2n343.onstatic.studio/blog/why-immutable-backups-are-essential-and-how-to-keep-them-secure/), so a bad day is a restore instead of a ransom. No provider can promise an attack will never come; the goal is fewer ways in and a faster way back.

## Retail IT support: questions store owners ask us

If yours isn’t here, call 239-465-0079 or browse our [general FAQ](https://yzdhzympzs2n343.onstatic.studio/frequently-asked-questions/).

What is retail IT support?

Retail IT support is ongoing help with the technology a store depends on to sell: point-of-sale systems and card readers, the store network and Wi-Fi, security cameras and door access, and back-office computers, email and backups. With NerdSquad that support is proactive. We monitor your systems, schedule updates after close and fix problems before they reach the register.

How is a retail managed service provider different from my POS company’s support line?

Your POS vendor supports its own software. A retail managed service provider looks after everything around it: the network, printers, scanners, Wi-Fi, cameras, backup internet, security and the other vendors. When something fails, we figure out whether it’s the POS, the network or the internet provider, and we make the calls so you don’t have to. New to the term? Here’s [what an MSP is](https://support.nerdsquad.net/portal/en/kb/articles/msp-managed-service-provider).

Do you work with Square, Clover, Shopify POS, Lightspeed or NCR Counterpoint?

Yes. We work with the POS you already use, including Square, Clover, Shopify POS, Lightspeed and NCR Counterpoint, and we coordinate with the vendor when their help is needed. We aren’t a reseller or partner of these companies, so our advice stays focused on what’s right for your store.

Can you install security cameras and connect them to our POS?

Yes. We design, install and support business camera systems and can integrate them with your point of sale, so transactions appear alongside the video and exception reports flag voids, refunds and no-sales worth a look. Cameras go on their own secured network segment. See [how cameras and registers work together](#nsrt-cameras).

What happens if our internet goes down during a sale?

With backup cellular internet (LTE/5G) in place, card payments fail over automatically and keep processing while the main line is repaired. We’re alerted when it happens and follow up with the provider. Without a backup, many POS systems fall back to an offline mode, which carries the risk of declined cards you can’t collect on later.

Can you help us with PCI DSS compliance?

Yes, on the technical side. We help you shrink what’s in scope with encrypted card readers and network separation, put controls like multi-factor authentication and 12-character passwords in place, inspect payment devices, and gather evidence for your Self-Assessment Questionnaire. NerdSquad doesn’t certify compliance or guarantee an assessment result; your processor or a Qualified Security Assessor makes that call. Start with our [PCI DSS explainer](https://support.nerdsquad.net/portal/en/kb/articles/pci-dss-payment-card-industry-data-security-standard).

How do you keep guest Wi-Fi away from our registers?

Guest Wi-Fi gets its own network that reaches the internet and nothing else. Registers and card readers sit on a separate payment network, cameras on another and office computers on another, with a [firewall](https://support.nerdsquad.net/portal/en/kb/articles/firewall-network-security) deciding what can talk to what. A customer on your Wi-Fi never shares a network with your payment systems.

How do you handle seasonal staff?

Each hire gets their own login with only the access their role needs, set up before their first shift. When the season ends, access is removed the same day. No shared register passwords. It’s all part of our [new-employee IT security checklist](https://support.nerdsquad.net/portal/en/kb/articles/new-employee-it-security-checklist).

Do you support multi-location retailers?

Yes. We use the same network, camera and security setup at every store so problems are easier to spot and fix, give owners one view of cameras across locations, and turn opening a new location into a repeatable checklist instead of a scramble. Our [growth FAQ](https://support.nerdsquad.net/portal/en/kb/articles/what-if-our-business-grows-can-your-it-services-scale-with-us) explains how the service scales.

Can you install cabling and networks for a new store or remodel?

Yes. We plan and install structured cabling, switches, Wi-Fi and a labeled network closet, and coordinate with your contractor and POS vendor so registers, cameras and door access work on opening day. Bring us in early through [IT consulting](https://yzdhzympzs2n343.onstatic.studio/it-consulting/): moving a cable run before the drywall goes up is far cheaper than after.

How much does retail IT support cost?

It depends on how many registers and devices you have, how many locations, your camera and door systems, and which protections you need. We’ll walk your store and give you a clear recommendation before you commit to anything. See [how our pricing works](https://yzdhzympzs2n343.onstatic.studio/it-support-pricing/) or [contact us](https://yzdhzympzs2n343.onstatic.studio/contact-nerdsquad/).
